How We Handle Your Information.

Information We Collect

When you request a quote, place an order, or message us, we collect what you give us directly — plus a small amount your device sends automatically:

• Contact details — name, company, phone number, email, and shipping address.
• Order details — garment specifications, quantities, artwork/tech packs, sample and production notes, pricing and payment status.
• Conversation content — the messages you send us over WhatsApp, email, or our contact form, including any images or files you attach.
• Chat — if you use the chat on this site, we keep the conversation, any photos or files you send, and the name, email and optional phone number you give us, so our team can answer your inquiry. The chat assistant is automated, may use an AI service to write its replies, and never decides prices — people do. You can ask us to delete a chat at any time.
• Verification & information requests — if you ask us to email you our verification details (or similar information) using a form on this site, we keep the name, email address and optional phone number you give us so we can send it and reply to you. If you tick the optional box, we may also send you occasional updates about new products or sample offers; you can unsubscribe at any time.
• Order-tracking data — for active orders we keep the photos, videos and files shown on your private tracking page; they are deleted automatically 45 days after delivery, while the order record itself is kept for bookkeeping.
• Basic technical data — browser type and IP address when you visit truefitsportswear.com, collected via standard server logs and, if enabled, analytics.

WhatsApp & Messaging Data

We use the WhatsApp Business Platform (via Meta) to communicate with customers about quotes, orders, and production updates. This means:

• Messages you send to our business number are processed through Meta's WhatsApp Business API infrastructure, and are also visible in our own order-management system so our team can respond.
• We send order-related updates (quote ready, spec confirmation, shipping status) and, where you've engaged with us before, occasional follow-ups about an open quote — you can ask to stop these at any time by replying "stop" or telling us directly.
• We do not sell, rent, or use your WhatsApp conversation content for advertising to third parties.
• Meta's own handling of message infrastructure is governed by the WhatsApp Business Messaging Policy, separate from this page.

How We Use It

Fulfilling your order	Preparing quotes, confirming specs, producing and shipping goods, and handling payments.
Customer support	Answering questions, resolving issues with samples or production, and following up on delivery.
Service updates	Notifying you when a quote, sample, or shipment status changes.
Improving our service	Understanding common questions and delays so we can respond faster and quote more accurately.

Sharing & Third Parties

We share information only where it's needed to run the business:

• Meta / WhatsApp — to deliver and receive messages through the Cloud API.
• Production partners — garment specs and shipping details, where an order is produced or shipped through a partner facility.
• Payment services — payments are made by bank transfer, or by transfer to a local-currency account held with Wise. We do not take card payments and do not collect or store card numbers.
• Legal requirements — if required by law or a valid legal request.

We do not sell personal information to data brokers or advertisers.

Retention

We keep order and conversation records for as long as needed to fulfil your order, handle any warranty or dispute, and meet our bookkeeping obligations — typically for the life of the business relationship plus the period required by Pakistani tax and commercial record-keeping law. You can ask us to delete inactive conversation history at any time.

Your Choices & Rights

• Opt out of follow-ups — reply "stop" on WhatsApp or tell us directly; order-status messages for active orders will still be sent.
• Access or correct your data — contact us and we'll share or correct what we hold about you.
• Delete your data — request deletion of your contact and conversation history once there's no active or open order.

Security

Messaging runs through Meta's WhatsApp Business Platform, which encrypts data in transit. Internally, access to customer and order data is limited to the True Fit team members who need it to do their jobs, and we take reasonable technical and organizational measures to protect it against loss or unauthorized access. Card payments are handled entirely within Stripe's own PCI-DSS Level 1 certified infrastructure — your card number, expiry and CVC are never transmitted to or stored on our servers.
